A 25% non-refundable reservation deposit is required to reserve the event date and equipment. Unless otherwise agreed, the remaining balance is due no later than delivery and must be paid in full before rental equipment is released. If payment cannot be completed at the scheduled delivery, Beehive may stop the delivery and retain the equipment.
A refundable equipment deposit is separate from the reservation deposit: under $50—none; $50–$249—$50; $250–$749—$100; $750+—$150. Beehive may take up to three business days after pickup to inspect equipment and process the refund. Applicable loss, damage or excessive-cleaning charges may be deducted first.
Customers are responsible for inspecting the order at delivery and reporting missing, incorrect or visibly damaged items as soon as reasonably possible. Beehive may photograph delivery and pickup, but the absence of photos does not waive customer responsibilities. If a confirmed item cannot be provided, refunds or credits are generally limited to the affected item or service.
Delivery and pickup use approximate windows rather than guaranteed exact times unless specifically agreed in writing. Customers should choose a delivery window with adequate time before the event. Pickup should be scheduled for when equipment will actually be broken down, stacked as appropriate and ready—not simply when the event ends.
Customer-requested additional rental days are charged at 25% of the entire order total, including delivery, for each additional day and are subject to availability. If Beehive delivers early or retrieves later for its own routing convenience, no extra-day charge applies.
When setup is included, an authorized person familiar with the layout must be available. Beehive does not carry equipment through private residences or up/down interior stairs. Stairs, long carries, steep slopes, narrow access and difficult terrain must be disclosed. Beehive may require an able-bodied helper, additional labor, a site visit, or placement at the closest reasonably accessible location.
Changes are subject to availability and confirmation. The original 25% reservation deposit remains non-refundable and is not recalculated when quantities are reduced. Once an order is loaded, dispatched, delivered or setup has begun, Beehive is not required to reduce charges for items the customer no longer wants.
Normal wear is expected. Damage beyond normal wear, loss, theft or excessive cleaning may be charged. Replaceable torn resin-chair seat pads may be charged at $15 each. Standard cleaning is included; excessive dirt, mud, wax, tape, grease, paint, permanent marker or similar substances may result in reasonable additional charges.
When protective covering is provided, customers are responsible for reasonably protecting weather-sensitive equipment from rain and excessive moisture. Chairs should be gathered or stacked and covered when rain begins or is expected. Avoidable weather exposure that causes excessive drying, cleaning, repair or replacement may result in charges.
Customers are responsible for equipment from delivery and acceptance until pickup and must reasonably safeguard it against loss, theft, misuse and avoidable damage. Equipment must be used only for its intended purpose and should remain at the agreed rental location unless Beehive approves otherwise.
Beehive has final authority over whether a canopy can safely be installed or remain installed. Customers may not move, adjust or take down canopies or interfere with stakes, weights, straps or anchoring. Lightweight decorations are allowed when they do not affect safety; heavy objects may not be attached. Known sprinklers, irrigation, utilities, septic components or other underground hazards must be disclosed before staking.
Customers are responsible for venue/property permission and for disclosing parking restrictions, loading requirements, gates, codes, restricted hours and other access rules. Undisclosed restrictions may require a modified setup, alternate placement or additional charges for agreed extra work.
The 25% reservation deposit is non-refundable and is retained if the customer cancels. Rescheduling may be accommodated based on availability, and Beehive may allow the deposit to transfer to an approved new date. Safety-related cancellation of one canopy or item does not automatically cancel the rest of an order that can still be provided.
Beehive will make reasonable efforts to perform as scheduled but is not responsible for delays or inability to perform caused by circumstances reasonably outside its control, including severe weather, unsafe roads, closures, accidents, emergencies, government restrictions or power outages. This does not eliminate refunds or credits otherwise provided when a specific paid item or service cannot be provided.
The person booking represents that they are authorized to enter the agreement and provide accurate event, contact, access and order information. Payment of the reservation deposit, signature or electronic acceptance constitutes acceptance of the Rental Agreement and confirmed order.
